Exports

One-click export to your accounting software. Correct field mappings, correct tax codes, ready to import.

Supported formats

  • Sage 50 — CSV with Sage's expected column layout and tax code mappings
  • Xero — CSV formatted for Xero's bills import
  • QuickBooks — CSV formatted for QuickBooks Online expense import
  • Surf Accounts — CSV formatted for Surf's purchase import
  • Big Red Book — CSV formatted for Big Red Book purchase entry
  • Generic CSV — a clean CSV with all extracted fields, suitable for any accounting system or spreadsheet

Field mappings

Each format has its own mapping from luca's internal data model to the destination software's expected columns. Date formats, decimal separators, and column orders are all handled automatically. You don't need to reformat or transform anything before import.

Tax code mappings

VAT rates are mapped to your accounting software's tax codes. For example:

  • Sage 50: T1 (standard), T0 (zero), T9 (outside scope)
  • Surf Accounts: standard, reduced, zero, exempt
  • QuickBooks: tax codes by jurisdiction

If a receipt has an unusual rate, it's mapped to the nearest standard code or flagged for review.

Setting a default export format

In Settings, choose your firm's default export format. This is what you'll get when you click Export from any client without overriding the format.

Per-client export format override

If different clients use different accounting software, you can set a per-client default that overrides the firm default. Open the client's page and choose the format under client settings.

Exporting a batch of receipts

From the client's page, click Export. Choose a date range (or VAT period) and the format. luca generates a downloadable CSV with all matching receipts. The export is recorded in the export history so you can re-download it later if needed.

Tip: Run an export immediately after closing a VAT period. Subsequent edits to receipts won't change the export file you've already downloaded — it's a snapshot in time.
